Heirloom Portrait Client Forms

Heirloom portraits are all about capturing a timeless, classic essence that transcends trends. To get those "once-in-a-generation" shots, the secret lies in the preparation. You want to bridge the gap between a client’s vision and your artistic execution.

Here is a questionnaire designed to help you nail the details and manage expectations.

This field is for validation purposes and should be left unchanged.

1. The Big Picture (Vision & Vibe)

Understanding the "why" behind the session helps you choose the right lighting and mood.
(e.g.,A mile stone, A first birthday, a yearly tradition, a gift for grandparents?)

2. Wardrobe & Grooming

Since heirloom portraits focus heavily on the face and upper body, the collar and hair are everything.
(Describe the color, fabric, and collar type—e.g., Peter Pan, smocking, lace, or a simple knit.)
(e.g., a christening gown, a specific bonnet, or a silver rattle?)
(e.g., natural curls, a classic side-part, or a signature bow?)

3. Getting to Know the Subject

(e.g., Energetic, observant, silly.)

4. The Final Destination

Heirloom portraits are meant to be printed, not just stored on a hard drive.
(e.g., A gallery wall, a standalone formal frame, or a desktop easel?)
(This helps in choosing the background tone.)

A Note for the Photographer

The "Golden Rule" of Heirloom: Suggest that clients avoid anything "temporary"—this includes neon colors, temporary tattoos on kids' arms, or trendy hairstyles. Simplicity is what makes a photo look like it was taken in 1924 just as easily as 2026.

1. The Heirloom Experience

  • Heirloom portraits are designed to be classic, simple, and cherished for generations.
  • These sessions focus on capturing children (ideally ages 6 months to 10 years) in a graceful, understated style using soft, neutral colors and clean backdrops.

2. Fees and Payment Structure

The Client agrees to a two-part investment structure:

  • Sitting Fee: A non-refundable $200 fee is required to secure your date on the calendar. This covers the session time and talent but does not include any images or products.
  • Image Selection & Purchase: Following the session, the Client will view a gallery to select their images. Payment for all portraits and products is due at the time of ordering.

3. Investment Menu

  • All prints are produced on archival fine art paper, rated to last 200 years.
  • All purchased images include the corresponding high-resolution digital file.

    • Up to 10" (longest edge)
    • Examples- 8x10/5x7/10x10

4. Sizing & Placement Guidelines

  • Sizing: Wall art sizing is determined by the longest edge of the framed piece (e.g., an 8x10 framed print is a "Small").
  • Impact: For optimal visual impact, I recommend wall art cover 60–70% of the wall width. If hung above furniture, the piece should ideally be 2/3 to 3/4 of the furniture's width.

Available Add-ons:

  • Deckled Edge: $75
  • Museum Acrylic (Non-glare): $100

5. Artistic Style & Retouching

The Photographer will use their professional judgment regarding lighting and posing. Every purchased image undergoes careful, high-end retouching to maintain the timeless heirloom aesthetic. Original unedited RAW files are not provided to the Client.

6. Archival Quality & Care

Prints are created using archival materials designed to last over a century. However, the Photographer is not responsible for damage caused by improper hanging, direct sunlight, or environmental factors once the product is in the Client's possession.

7. Cancellation and Rescheduling

  • The sitting fee is non-refundable.
  • In the event of rescheduling due to sickness, weather, or other unforeseen circumstances, the sitting fee will be applied to the new date.
  • If the Photographer is unable to perform due to illness, emergency, or force majeure (acts beyond control, such as natural disasters), the Photographer will reschedule the Session at no additional sitting fee or provide a refund of the sitting fee if a new date can not be selected.
